EVENT MANAGER – RUN/WALK EVENTS (FULL TIME)

This is a full-time endurance running, charity walk and/or festival Event Manager position managing ALL aspects of creating fun runs, 5ks, marathons and/or light shows from conception to closeout. You would be joining the “A team” surrounded by people who love and enjoy what they do.

This is a two-part job…

PART 1: PRE-EVENT PLANNING (OFFICE)

Pre-event planning includes event development, permits, contractors, volunteer recruitment, creating course layouts/site maps, creating run-of-shows, loading event equipment/trailers, maintaining event equipment and more.

PART 2: EVENT DAY EXECUTION (FIELD)

The excitement of event day execution includes leading/directing/managing up to 20 crew members and 100’s of volunteers to make an event run smoothly for 1,000’s of participants. It’s very fast-paced with a lot of problem-solving, logistical coordination and communication. This is for the person who stops at nothing to make sure everything is perfect and leaves no problem left unsolved. Beyond just directing, event days are made for people who like getting out of the office and getting physically engaged in setting up equipment and driving trucks/trailers.

  • Comfortable presenting to city agencies.
  • Must be able to read maps (events depend on course maps and site maps).
  • Will need to learn Adobe programs to develop course and site maps.
  • Must be able to handle problems, and conflicts (there are always problems that need to be solved very quickly on event day)

EVENT DAY DETAILS:

  • Willingness to travel frequently to work events on weekends (Our events are nationwide and on the weekends).
  • On event days, must be able to work very long hours on your feet (12+ hours).
  • Must be able to lift at least 50 lbs. repeatedly over an extended period (events require a lot of equipment).
  • Going above and beyond the job description to make the event day a success.

EVENT MANAGER – HALLOWEEN AND WINTER LIGHT FESTIVAL (FULL TIME):

Our Festivals:
– Jack O’Lantern World: Immersive trail walk filled with 1,000’s of hand carved Jack O’Lanterns.
– Jack O’Lantern Fest: Traveling fall festival featuring Jack O’lanterns, live music and fun zone.
– Santa’s Rock N Lights: Drive through light show in three Midwest cities.
– ICE World: Ice sculpture festival.

Position Type:
Full time event manager.
*Seasonal managers and interns also wanted.

The Job:

PART 1: PRE-EVENT PLANNING (OFFICE)

Pre-event planning includes event development, permits, contractors, volunteer recruitment, creating site maps, creating run-of-shows, loading event equipment/trailers, maintaining event equipment and more.

PART 2: EVENT SITE BUILDS (FIELD)

We build our event sites to bring them to life.  Our managers are well versed in the understanding of their site plans and how our prefabricated displays are assembled so they can manage a crew of 10 to 20 members to set everything up.  On site this includes explaining and directing crew to unload semi trailers, moving equipment with fork lifts, trucks and trailers, assembling displays with hand tools, setting up speakers and starting up generators.  It is exciting and fast paced.

PART 3: EVENT OPERATIONS (FIELD)

The excitement of event day operations includes leading/directing/managing a staff of up to 20 crew members to make an event run smoothly for 1,000’s of daily attendees. It’s fast-paced with staff coordination, problem-solving, logistical coordination and communication. This is for the person who stops at nothing to make sure everything is perfect and leaves no problem left unsolved.

Our Location:

14,000 Sq. Ft. Office and Warehouse in Lake Zurich, IL

Pay:

We are typically on the higher end of competitive. We offer insurance and retirement program.

WAREHOUSE PERSONNEL (FULL TIME & PART TIME):
This person would be responsible for fixing/repairing equipment, building things related to our running events and light shows,  loading our trucks and trailers and helping out at our events.  This is for a handy type of person.

This is for the person who loves answering questions and just knows how to put a friendly touch on their communications.  We love organizing events and our energy needs to come through in our emails and phone support. Work from home and in office options available.

SEASONAL EVENT DAY WEEKEND CREW:
Make a quick buck and be part of our team on the weekend helping set up and manage event site, registration, course setup, lead bike and volunteer placement. ON-SITE FESTIVAL MANAGER (SEASONAL):

Be the on-site manager of one of our local shows or go on the road and manage one of our month-long traveling shows.

The Location Manager is responsible for opening, closing and the overall success of the operations of the show on a daily basis. The Site Manager is responsible for the maintenance and troubleshooting of the festival or light show and overseeing staff. Manager needs to be a common sense, figure-it-out type of person. This job is for someone who is responsible, can solve problems, work with customers, manage staff and is handy with their hands (fix things).

There is an option to work only an October or  December festival or do both.

Responsibilities include:

-Open and close the show each night
-Become proficient in using ticket taking devices/technology, teach ticket taking staff how to use the technology, and check in on and manage ticket taking staff
-Start all generators each night and continually fill them with gas throughout the duration of the show
-Fix/repair light displays if they break (must be handy!)
-Troubleshoot issues independently if something is not working
-Applicants should enjoy interacting with the public and have a great holiday spirit
-Applicants should be excited to work outside in cold weather (dress warm!) and stand/walk around for the duration of the shift
-Applicants must be able to work evenings, weekends, and holidays

Typical Hours:

Start: 2 to 3 PM each day
End: 10 to 11 PM each day

Pay:
$25-$30/hour

INTERNSHIPS:

*Summer & Fall Internships:*

– Gain real experience working in the office and out in the field at our run/walk events, Jack O’Lantern World Festival and Santa’s Rock N Lights Drive Thru Light Show.  Interns are paid and often get hired on full time post internship.

Internship to Hire Program:

– This allows prospective event managers to test the waters getting paid managing one of their own events and assisting event managers with their events to get a feeling of if this is the right position for them.  If it turns out to be a good fit then we agree to go full time post internship. Duration: June through December.
